President: The President shall be ex-officio a member of all Committees. He/She shall, when present, preside at all meetings of the society and of the Executive. He/She shall liaise with outside parties who wish to address the society’s membership with respect to correspondence.
Vice President: In the absence of the President, the Vice-President shall take on the duties of the President at any meetings of the society. The Vice-President may take on or share another executive or committee responsibility as they see fit. He/She shall arrange the reservation of meeting spaces.
Secretary: It shall be the duty of the Secretary to attend all meetings of the society and send all notices of the various meetings as required. The Secretary shall keep all notes and files from the Executive Meetings. The Secretary shall keep all records associated with the society. He/She will present the Annual General Meeeting.
Treasurer: The Treasurer shall receive all monies paid to the society and be responsible for the deposit of same in the society’s bank account. He/She shall properly account for the funds of the society and keep such books as may be directed. He/She shall present a full detailed account of receipts and disbursements to the Executive whenever requested and shall prepare for submission to the Annual Meeting a statement duly audited of the financial position of the society and submit a copy of the same to the Secretary for the records of the society. He/She will submit required documents of the society to all governments yearly.
Advertising Director: The Advertising Director is responsible for external advertising for the society as requested by the Executive. He/She works with a budget for advertising, which is determined by the Executive and updates any changes in costs when they occur. He/She shall yearly contact sponsors to determine the benefits our members have with their establishments.
Program Director: The Program Director is responsible for the arrangement of the monthly speaker for the Membership Meetings. He/She gathers information from the speaker as and determines equipment required for the speaker and obtains a biography for the President or Vice-President to do introductions. He/She works with a budget determined by the Executive and requests changes to the budget when required.
Membership Director: The Membership Director shall receive all money from new memberships and renewals and pass this money on to the Treasurer for accounting and deposit. He/She shall keep an updated record of current member’s contact information. He/She shall produce membership cards and ensure that members receive the membership cards.
Website Director: The Website Director shall maintain all needs of the society’s website. This would include updates of speakers, payment methods, general updates, calendar events, membership and site fees, and new requests for uses of the website by the Executive.
